2. What data we collect and why
2.1 Contact form
When you submit a form, we collect: your first name, phone number or e-mail address, the content of your enquiry (training goal) and information about the selected discipline.
- Purpose: handling your enquiry and connecting you with a trainer.
- Legal basis: Art. 6(1)(b) GDPR (steps prior to entering into a contract) and Art. 6(1)(a) (consent given when submitting the form).
- Retention period: up to 12 months from last contact, no longer than required by law.
2.2 Analytics (Google Analytics 4)
If you consent to analytics cookies, we collect anonymous usage data via Google Analytics 4 (Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland; services processed by Google LLC – a US entity).
- Purpose: improving website quality and analysing traffic.
- Legal basis: Art. 6(1)(a) GDPR (consent).
- Transfer outside EEA: data may be transferred to the USA under Standard Contractual Clauses (SCC).
- Retention period: 14 months (GA4 session setting); aggregate data indefinitely.

2.3 Processing by form processors
Data from the main contact form is passed to Web3Forms (Leapfrog Web Pte. Ltd., Singapore) as a data processor. Transfer outside the EEA takes place under Standard Contractual Clauses (SCC). Web3Forms privacy policy: web3forms.com/privacy.
Data from the trainer registration form is passed to Formspree, Inc. (Delaware, USA) as a data processor under a data processing agreement. Transfer outside the EEA takes place under Standard Contractual Clauses (SCC). Formspree privacy policy: formspree.io/legal/privacy-policy.
2.4 Trainer profiles in the directory
The directory features profiles of personal trainers, dietitians and sports specialists active in Koszalin and the surrounding area. Some profiles are created on the basis of publicly available business information – without collecting data directly from the individual (Art. 14 GDPR).
- Data source: publicly available sources, including trainers' websites and their public business profiles and listings.
- Scope of data: name or business name, specialisation, business description, public contact details (phone, e-mail, website, business social-media profiles) and place of business. We do not publish photos or special-category data without the consent of the data subject.
- Purpose: operating a local informational directory of trainers and connecting them with people looking for training.
- Legal basis: Art. 6(1)(f) GDPR – the legitimate interest of the Controller and users in accessing information about local sports services.
- Retention period: until an effective objection is raised or the data becomes outdated.
If you are a listed trainer, you may at any time update, restrict or remove your entry, or object to processing (Art. 21 GDPR) – simply write to kontakt@trenerkoszalin.pl. We will act promptly.
3. Your rights
You have the following rights regarding your personal data:
- Right of access – you may request a copy of your data (Art. 15 GDPR).
- Right to rectification – you may request correction of inaccurate data (Art. 16 GDPR).
- Right to erasure – you may request deletion when data is no longer necessary (Art. 17 GDPR).
- Right to restriction of processing (Art. 18 GDPR).
- Right to data portability (Art. 20 GDPR) – where processing is based on consent or contract.
- Right to object to processing based on legitimate interest (Art. 21 GDPR).
- Right to withdraw consent at any time (without affecting the lawfulness of prior processing).
- Right to lodge a complaint with a supervisory authority – in Poland: the President of the Personal Data Protection Office (UODO), ul. Stawki 2, 00-193 Warsaw, uodo.gov.pl.

4. Cookies
The website uses only cookies that are strictly necessary for its operation and – with your consent – Google Analytics 4 analytics cookies. We do not use advertising or third-party tracking cookies beyond GA4.

5. Data security
We apply technical and organisational data protection measures, including encrypted transmission (HTTPS) and restricted access to data for authorised personnel.
